After more than two decades of planning events across the country, I've learned that selecting a venue goes far beyond beautiful accommodations and impressive amenities. What works beautifully for one group may not be the right fit for another.
Here are six things I always consider when selecting a venue.
1. Start with the purpose, not the property.
Before looking at venues, think about what you want the event to accomplish. Is it connection? Strategic planning? Celebration? A beautiful property might catch your attention, but it also needs to support your goals.
2. Think about where your guests will spend their time.
If attendees are spending eight hours a day in a meeting room, that space deserves just as much attention as the guest rooms and amenities. Natural light, comfortable seating, acoustics, and atmosphere matter.
3. Look beyond the property.
A great destination offers opportunities beyond the hotel itself. Local culture, unique experiences, and community partnerships can make an event feel more authentic.
4. The sales team should be your partner.
A great sales team can make all the difference when selecting a venue. I look for people who take the time to understand my group, offer thoughtful solutions, and genuinely want the event to succeed. The best relationships feel like a partnership from the very first conversation.
5. Do your homework, then see it for yourself.
I always check TripAdvisor and other review sites, looking for patterns in guest experiences rather than isolated complaints. But nothing replaces a site visit. Seeing the spaces firsthand and meeting the team can reveal things you won't find online.
6. Find out what's possible.
Some of the most memorable experiences begin with an idea that isn't exactly standard. There's a big difference between "that's not something we do" and "let's see how we can make that happen."
The right venue does more than provide a place to gather. It helps create the experience you want your guests to have.
Finding that perfect fit is one of my favorite parts of event planning. Have something on the horizon? I'd love to hear what you're envisioning!
